How to download and install


Go to the download page then click the download and continue the install.

You can also find the MSI package of the add-in, at the bottom of the product page: myTaskServer for Microsoft Excel

Login to MTS


The first time you use MTS for Excel you have to log in, in order to user the MTS functionality.

Go to the myTaskServer Ribbon and click on the Login button.

Enter your credentials in the dialog box.

Getting Started


Save and name the workbook

You can start using MTS on any workbook, as long as the workbook has been saved at least once.

Enable MTS

Go to the myTaskServer Ribbon and click the Enable MTS button to enable myTaskServer in the current workbook.

Define resources

In order to send tasks to resources, the resources have to be defined properly in MTS.

Go to the Resource Sheet worksheet, type in a Resource Name and an Email address for each resource.

If you previously used MTS you can use the Import Resources option in the myTaskServer Ribbon.

Sending your first task

Define a task by starting to type in a row in the myTaskServer sheet, assign a resource, then right-click the row (or any cell in the row) and select “Send Task To myTaskServer”.

A moment later you will see the confirmation


Please note that:

  • Only rows that have valid task information can be sent out
  • Only one resource can be assigned to each task

Getting updates from resources



In order to get updates back from the resources click the Sync Now button in the myTaskServer ribbon.

All tasks will be updated.

Sending out a revision

Just select the task row, right click again and select Send Task To myTaskServer.


Sending multiple tasks

Just select multiple task rows, right-click again and select Send Task To myTaskServer.

Invalid tasks, incomplete tasks or empty rows are not sent to myTaskServer.

Sending out all changes


Clicking on the Sync Now ribbon button, will send all pending changes to MTS.

Tasks with resources will be sent out.

Task without resources will be stored in MTS.




You can select Automatic synchronization if you want your data updated every 5 minutes (if you don't want to click the Sync Now button in the ribbon).

Select Syncronize all tasks to myTaskServer in order to get all new and changed tasks synchronized to myTaskServer on any sync operation, automatic or manual.




Notifications are messages sent out via e-mail or mobile notification systems by choice of the receiver. You can choose whether notifications should happen always, never or the application should ask on each communication.


Import Resources


Import Resources gives you the option to reuse resources defined in earlier myTaskServer projects.

Select the resources you need, and they will be added to the Resource Sheet of your current workbook.


Multiple projects

Multiple projects in the same workbook is supported by default.

Project name is has to be specified in its designated field for each task.

When defining a new task under a previously defined one, the project name field will be automatically copied from the previous task.


Import Project



The Import Project function allows you to import more myTaskServer projects into the current workbook. The additional tasks are added to the bottom of the file.


Change state of the Task

Using a right click on a single task you can set a task in one of the following states:

Deleted - deleted from MTS, not accessible anymore

On Hold - temporarily set to inactive, visible 

Cancelled - permanently inactive, visible

Archived - archived, invisible to resources

Task Editor

The Task Editor offers a quick and easy way to edit or define myTaskServer tasks.

Click on a task row to load it into the Task Editor. Any changes made in the table will be updated in the Task Editor and vice-versa.

Clicking on New Task will select the first empty task row in the worksheet, where you can start defining a new task. When the task is ready, hitting the Send button will send out any changes made to the task.


Task Documents

Show Documents ribbon button will enable a task pane in the right hand side of the screen.

Here you can view, add comments, download and upload documents.


Task History

The Task History ribbon button will enable a task pane in the right hand side of the screen showing the history of the selected myTaskServer task.

Each row represents a certain state of the task, and each highlighted value represents a property of the task, that has been changed compared to the previous task state.

Clicking on a history item will open a detailed view of the tasks history, where you can see all the fields that have been synchronized to myTaskServer.


Worksheet Fields

myTaskServer worksheet:

  • Task Name: specifies the task name of the task
  • Project Name: specifies the project where the task is being created. When working in the table, the project name from the previous task will be automatically copied, to ease the introduction of tasks
  • Resource Name: a dropdown, where you can select one resource per task. These resources have to be specified correctly on the Resource Sheet with a valid email address and name
  • %: shows the percent complete of the task.
  • Task Status: shows the current status of the task. More info here...
  • Task Start: specifies the complete start date & time of the task. It can be manually completed, but a simple double-click will bring up a date & time selector. Upon creating new tasks, the Task Start field is prefilled with the current date and 8:00 AM
  • Task Finish: specifies the complete finish date & time of the task. It can be manually completed, but a simple double-click will bring up a date & time selector. Upon creating new tasks, the Task Finish field is prefilled with the current date and 8:30 AM
  • Task Notes: a place to add custom notes to your tasks, which will be received by the resources.
  • User Message: shows various system messages from synchronization events.

Resource worksheet

  • Resource Name: specifies the name of a resource. This value will be visible in the Resource Name dropdown on the myTaskServer worksheet
  • Resource Email: specifies the email address of the resource. It has to be a completely valid email address in order to work with myTaskServer
